This document establishes the standardised protocol for Series 04-VID ScoleTV video files and Master Log entries. It defines the strict rules for folder hierarchies, double-hyphen filename conventions, YouTube upload procedures, and metadata retention required to ensure absolute consistency across all public-facing visual media assets in the Scole Archive.

1. FOLDER HIERARCHY
All public-facing YouTube video assets must be stored within the 04-VID-Video root directory in one of two dedicated third-level subfolders:
- 04-VID-Video/VID-03-Scole-TV-Long/ (For standard, horizontal video formats)
- 04-VID-Video/VID-04-Scole-TV-Shorts/ (For vertical, short-form video formats)
2. FILENAME CONVENTIONS (THE DOUBLE-HYPHEN SYSTEM)
To maintain structural integrity across all operating systems while preserving the YouTube display title sequence, the following character replacements must be used in the archival filename:
- Replace the Pipe character (|) with a Double-Hyphen (--)
FORMAT - SHORTS (5-digit sequence):
Scole-TV-Shorts-[#####]--S[#]--[Title]--[Session Details].mp4
FORMAT - LONG-FORM (4-digit sequence):
Scole-TV-[####]--V[#]--[Title]--[Session Details].mp4
3. UPLOAD PROCEDURE
When uploading to YouTube, the archivist will format the display title to feature the sequence number at the very beginning, and replace all double-hyphens with pipes (|).
- Long-form format: V# | Title | Session Details
- Shorts format: S# | Title | Session Details
4. MASTER PROGRESS LOG DESCRIPTION FORMULA
To ensure maximum consistency and searchability in the Master Progress Log spreadsheet, the Description column for all ScoleTV video files must follow this exact formula:
[Video Sequence V# or S#] + [Subject] + [Session/Date] + [Brief Context].
EXAMPLE:
Video V1 featuring moving video imagery of an "interdimensional being" and Non-Human Intelligence (NHI) communicator. Transmitted to a camcorder receiver in full light via angled mirrors during the "Project Alice" phase of Session 397 on 30/01/1998. Explanatory text details the experimental methods and distinguishes between DHI and NHI communicators.
5. METADATA RETENTION
Because the Master Progress Log is restricted to five core columns (ARCHIVE-ID, FILENAME, INTERNAL-PATH, SANS-PREFIX, ROOT-DIR) plus the unified description, all extended metadata—such as the YouTube URL, Title Hashtags, and the full promotional YouTube description text—must be retained in the archivist's working notes or a dedicated supplementary metadata file linked to the ARCHIVE-ID.
